FileVision Helps Outpatient Therapy Clinic Increase Front Office Productivity, Expedite Billing Process

ATLANTA, February 21, 2008 – FileVision announced today that Hand & Therapy Specialists, Inc., an outpatient occupational and physical therapy clinic, will implement the new hosted version of FileVision’s solution to improve front office productivity, reduce billing cycles and ultimately raise business profits.
The FileVision solution includes document management, imaging, workflow, relationship management and search functions. With the new hosted solution, customers now can have instant access to information online.
“Case management workflow and billing processes for occupational and physical therapists are different from traditional physicians’ offices,” said Laurie Shufeldt, VP of Strategic Business Development, FileVision. “Whereas most healthcare technologies are patient-centric and are designed to augment a typical doctors’ office, Hand & Therapy Specialists required a different type of solution since insurance companies evaluate their patients’ claims from a case perspective.”
For example, in the occupational and physical therapy environment, insurance companies review patients’ cases based on a specified number of pre-approved visits. Therapists also have to submit their treatment notes after every appointment in order to be paid for their work.
“Being case-centric, FileVision helps the clinic’s front office personnel organize insurance information that is critical for scheduling patients’ visits by tracking how many approved visits remain, planning for continued care and documenting therapists’ treatment notes,” said Shufeldt.
Even the clinic’s outsourced billing company is realizing improvements in the new process. Prior to using FileVision, billing personnel underwent a time-consuming and labor-intensive process which delayed claims delivery and receipt of payment. With the new hosted version of FileVision, the billing company can access updated case information and process payments much faster via remote access from their own offices.
“Because HIPAA regulations state that patient files can not leave the office, we were going into work on nights and weekends to finish updating records into the paper versions of patients’ charts. With FileVision, all of the files are now electronic and we have the ability to update their records from home via the Internet, which is a tremendous benefit,” said Heather Williamson, owner and CEO, Hand & Therapy Specialists.
Overall, FileVision solves the clinic’s key business challenges by streamlining new patient processes; giving its billing vendor immediate access to patient information and billing documents; tracking notes that have not been turned in; and allowing therapists to complete charts from home and automate the tracking of appointments, which was previously done manually in spreadsheets.
After the initial implementation, Hand & Therapy Specialists plans to also expand its use of FileVision benefits by proactively marketing services to certain physicians and utilizing mobile PC tablets during appointments to allow therapists to document daily notes while working with patients.
